6. Candidate Profiles and Disclosure to Clients
As part of our recruitment services, we may discuss a candidate’s professional background with clients in order to assess potential interest in a profile.
Where appropriate, initial discussions may be conducted using limited or anonymised professional information.
We will not provide a client with your complete identifiable candidate profile or formally introduce you as a candidate for a specific opportunity without first informing you and, where appropriate, obtaining your agreement.
Candidate information disclosed to clients is limited to information reasonably necessary for the relevant recruitment process.
Clients receiving candidate information are expected to treat such information confidentially and in accordance with applicable data protection and anti-discrimination laws.
7. Recruitment Database and Service Providers
Candidate and professional information may be stored in our recruitment Applicant Tracking System (“ATS”) and other systems used to provide our services.
Our principal recruitment and candidate management platform is Vincere.
We also use third-party services and technologies in connection with our activities, including services for:
- professional sourcing and recruitment, including LinkedIn;
- email and professional communications, including Microsoft 365 / Outlook;
- email marketing and communications, including Brevo and Mailchimp;
- event registration and management, including Eventbrite;
- Website analytics, including Google Analytics;
- Website hosting, maintenance and security; and
- other IT infrastructure and professional support services.
These service providers may process personal data on our behalf or, depending on the circumstances, as independent data controllers.
Where providers process personal data on our behalf, we require appropriate contractual, data protection and security safeguards in accordance with applicable law.
The providers and technologies used by Asquare Partners may change from time to time.
8. Use of Artificial Intelligence
Asquare Partners may use artificial intelligence-assisted tools to support certain administrative and professional tasks, including assisting our consultants in the preparation and drafting of recruitment reports.
Such tools are used to support our consultants and do not replace their professional judgement.
Recruitment reports and candidate information remain subject to human review and oversight.
Asquare Partners does not use artificial intelligence to make solely automated decisions to select or reject candidates that produce legal or similarly significant effects without meaningful human involvement.
Where personal data is processed through an artificial intelligence-assisted tool, we take appropriate measures to protect the confidentiality and security of that information and to ensure that its use is consistent with applicable data protection requirements.

- clients and prospective employers involved in a recruitment process;
